How was Bezpieczna Kancelaria created?
The main founder and creator of Bezpieczna Kancelaria is Paweł Gościcki, who has been designing and building IT systems for over 25 years.
The system was built by a four-person team, and the identities of the other members are not disclosed for security reasons.
A long-time specialist in SaaS application penetration testing plays an important role in the team, and his knowledge has shaped the system architecture from the start.
The solutions were developed in cooperation with several law firms and based on observations of their daily work and real problems.
Bezpieczna Kancelaria is designed as one coherent environment where documents, deadlines, teams, integrations and the AI agent work under the user's control.
A system for a law firm should not be built solely from a feature list prepared by a technology team. It must reflect how lawyers actually work, the responsibility connected with handling cases and the special value of information entrusted to a law firm by its clients.
BezpiecznaKancelaria.pl was created by combining two kinds of experience: many years of practice in building advanced IT systems and knowledge gained through direct cooperation with law firms.
We did not start by asking what features modern software for lawyers should have. First, we wanted to understand the real work of a law firm.

Only after understanding the everyday processes of law firms did we start building the system.

My name is Paweł Gościcki. I am the main founder and creator of Bezpieczna Kancelaria.
For over 25 years, I have been designing and building IT systems. I have worked on solutions that had to handle large data sets, complex processes and environments where stability and predictable operation directly mattered to users.
This experience taught me that a good system cannot be based only on an attractive interface and a long feature list. It must be thought through as a whole.

For a system intended for lawyers, these requirements are even higher. A law firm works with documents whose disclosure could have serious consequences for the client. It stores personal data, case materials, action strategies, correspondence and information covered by professional secrecy.
From the beginning, Bezpieczna Kancelaria was designed not as another office program, but as a secure and coherent work environment for law firms.
A four-person team with complementary skills
Bezpieczna Kancelaria was built by a four-person team. For security reasons, we do not publicly disclose the identities of the other people involved in creating the system or the detailed division of their technical responsibilities.
As the main founder and creator of the project, I am responsible for the concept, development and key product decisions. The other team members contribute the specialist knowledge needed to build, secure and maintain an advanced SaaS application.
A small team helps keep decisions coherent and reduces the risk that individual parts of the system will be developed independently, without understanding their impact on the other elements.
We do not build the calendar, documents, integrations and AI agent separately. We design one environment in which all these elements must work together securely.
Security consulted with a SaaS pentesting specialist
One of the key people on the team is a specialist who has spent many years professionally conducting penetration tests of SaaS applications.
His role was not limited to checking the finished product before release. Knowledge of how web applications are attacked influenced decisions made already at the system architecture design stage.

Security was not added to a finished application as a separate module. It was one of the basic criteria for technical decisions from the start of building the system.
There is no web application that can honestly be guaranteed complete resistance to all future attack attempts. However, a system can be designed to limit potential vulnerabilities, reduce the attack surface and avoid relying on a single protection mechanism.
This is exactly how we treat security in Bezpieczna Kancelaria: as an ongoing process, not a one-time task performed before the product launch.
A system created together with law firms
Technology experience is not enough to understand a lawyer's work well. That is why, when building Bezpieczna Kancelaria, we worked with several law firms. We observed their daily work organization and the problems faced by lawyers, trainees, assistants and secretariat staff.
We did not limit ourselves to asking what features users expected. We observed real processes.

- how hearings and other deadlines are tracked
- how meetings are scheduled
- how tasks are passed on
- how employees check lawyers' availability
- what cooperation looks like between people working on one case
- how many different programs have to be opened to perform an apparently simple task
This allowed us to see the difference between the officially described process and how the work looks in practice.
Problems most often arise in everyday tasks. A document is saved in the wrong place, a deadline is copied manually between systems, important information reaches only one person, and a lawyer has to remember which application contains a specific piece of information.
Bezpieczna Kancelaria was created to keep such risk points to a minimum.
We did not build a set of random features
Many systems grow by adding more modules. Each of them may work correctly on its own, but the user still has to connect information and monitor the whole process manually. We took a different approach.
Bezpieczna Kancelaria is meant to be one environment where documents, cases, deadlines, team collaboration, integrations and AI tools work as parts of the same process.
Take the calendar, for example. It is not only for entering dates. It can connect a law firm's deadlines with Google, iCloud, Portal Informacyjny Sądów and the hearing schedule. It lets you invite one person or the whole team to an event, share availability without revealing the confidential meeting name, and book conference rooms with their capacity, floor, available hours and time zone in mind.
We take the same approach to documents. It is not just about providing space for file uploads. A document must be protected, properly assigned to a case, available to authorized people and usable in further processes without creating uncontrolled copies.
The same principle applies to artificial intelligence.
AI should help the lawyer, not take control
From the start, we knew an AI agent could significantly streamline a law firm's work. It can help find information, prepare a document draft, schedule a date, organize data or perform an action described in natural language.
But that does not mean the agent should get unlimited access to all documents, cases and information in the system.
The agent gets unrestricted access to the entire law firm and selects information on its own without technically defined boundaries.
The system prepares only the information needed to complete a specific task, while the agent's actions remain under the user's control.
In Bezpieczna Kancelaria, the system prepares the context needed to complete a specific task. The agent receives the information needed to prepare a response or carry out a command.
This can give the user the impression that the agent understands the entire law firm and moves independently between its elements. In reality, its actions are controlled by a system we designed.
We control how the agent is used - not the agent controlling how the law firm works.
Artificial intelligence should support the lawyer's professional judgment, but it cannot replace it. The final decision, document approval, acceptance of a change or performance of an important action should still belong to a person.
Data protection should come from the architecture
We do not want users to have to take our word for it that their data is secure. That is why document protection in Bezpieczna Kancelaria follows from the system architecture we have adopted. Files are encrypted using the user's password, so access to their content remains on the user's side.
A system administrator should not automatically have unrestricted access to document content just because they technically maintain the application. Security cannot rely only on terms of service, an internal procedure or an assurance that no one will look into the data.
That is why we try to design solutions so that access restrictions result from technical mechanisms, not only from organizational declarations.
How we work on new features
The development of Bezpieczna Kancelaria does not start with the question of what would look good in marketing materials. First, we analyze a specific problem in a law firm's work.
- who performs the given action
- what it looks like today
- what information the user uses
- where an error may occur
- who should have access to the data
- which actions require approval
- whether the new feature creates additional risk
- how to connect it with the other parts of the system
Then we design the solution and assess it from both the usability and security perspectives. Only then is the feature built.
This approach requires more work than quickly adding more modules. But it lets us build a system that stays consistent and does not shift responsibility for connecting processes onto the user.

Security from the start. Every feature is assessed not only for usability, but also for its impact on data access, permissions and potential vulnerabilities.
Control on the user's side. A lawyer should know who has access to information, what action will be performed and when their approval is needed.

Technology supports the lawyer's responsibility. The system can speed up work and reduce repetitive tasks, but it should not take over final professional decisions.
