1. What are cookies

Cookies are small text files or similar information stored on the user's device or read from that device when using a website or application.

Cookies make it possible, among other things, to maintain a login session, remember user settings, ensure security, display the application correctly and - if the user gives consent - analyse how the service is used.

For the purposes of this Policy, cookies also mean similar technologies, such as local storage, session storage, session identifiers, technical tokens and other mechanisms used by the browser.

2. Who uses cookies

Cookies are used by Aurea Enterprises sp. z o.o., with its registered office at ul. Plac Bankowy 2, 00-095 Warszawa, as the provider of the Bezpieczna Kancelaria service.

3. What categories of cookies we use

Bezpieczna Kancelaria uses cookies and similar technologies in the following categories:

essential cookies,
functional cookies,
analytical cookies.

We do not use advertising cookies or cross-site tracking unless, in the future, we expressly provide notice of a change to this policy and obtain the required consent.

4. Essential cookies

Essential cookies are required for the website and application to function properly. In particular, they enable login, session maintenance, protection against abuse, remembering the decision concerning cookies and ensuring security.

Without essential cookies, using BK, in particular logging in and maintaining the User's session, may be impossible.

Examples of essential cookies:

accessToken - login session token, technical cookie, httpOnly, approximate lifetime: 15 minutes,
refreshToken - session refresh token, technical cookie, httpOnly, approximate lifetime: 30 days,
bk_cookie_consent - record of the user's decision concerning cookies, approximate lifetime: 12 months,
security cookies required to protect the session, request integrity or prevent abuse.

Essential cookies are used without separate consent from the user because they are necessary to provide the service requested by the user or to ensure its security.

The user may block cookies in the browser settings, but this may prevent logging in or proper use of BK.

5. Functional cookies

Functional cookies are used to remember user preferences and interface settings.

They may include in particular:

NEXT_LOCALE - remembering the selected language, approximate lifetime: 12 months,
bk_settings - remembering interface settings, such as the light/dark theme, menu layout or view preferences, approximate lifetime: 12 months.

Functional cookies are not necessary for logging in itself, but they improve the convenience of using BK. Without them, selected settings may not be remembered between visits.

If, in accordance with the application configuration, functional cookies are not necessary to provide the service, the user may disable them in the cookie settings.

6. Analytical cookies

Analytical cookies help us measure how the website or application is used, analyse errors and improve the performance, stability and usability of BK.

Analytical cookies are used only after the user's consent has been obtained, unless a given technology operates in a manner that does not require consent under applicable laws.

In BK, we may use technical monitoring and application analytics tools, such as Grafana Faro RUM or other tools specified in the documentation.

As part of analytics, the following may be processed in particular:

performance metrics,
information about JavaScript errors,
basic technical browser data,
technical application events,
loading times,
diagnostic data concerning operational stability.

We do not use analytical cookies to create advertising profiles or track the user across different websites.

7. Third-party cookies

As a rule, BK does not embed advertising cookies from third-party providers, such as Google Analytics, Facebook Pixel, TikTok Pixel or similar marketing tools.

If third-party cookies are implemented in the future, the user will be informed thereof and their use will be subject to consent, if such consent is required.

Certain external integrations may operate under the terms of the relevant provider, particularly where the user accesses an external system, logs in with an external provider or uses its interface. In such a case, that provider's privacy and cookie policies may also apply.

The user may manage consent to cookies in the cookie preference panel available on the website or in the application.

Preferences may be changed at any time by clicking the „Cookie Settings" link in the footer, on the login screen or in another location indicated in the application.

Withdrawal of consent does not affect the lawfulness of actions taken before its withdrawal.

The user may also delete and block cookies in the browser settings. Deleting cookies may result in being logged out of BK, the loss of saved preferences or the cookie banner being displayed again.

The cookie retention period depends on their type and purpose.

Session cookies are deleted when the browser session ends or upon logging out, depending on their function.

Persistent cookies are stored for the period specified in the cookie preference panel, technical documentation or this Policy, unless the user deletes them earlier.

We may amend the Cookie Policy in the event of technological, legal or organisational changes or changes in the tools used.

The current version of the Cookie Policy is published on the bezpiecznakancelaria.pl website.

We may inform users of material changes in the application or by email.

This document is available in Polish and English. The Polish version is the source text; in case of any discrepancy between the versions, the Polish version prevails. The English version is a translation provided for convenience only.
